Applicant must have excellent minute taking, administration and IT skills. This temporary post is based in a secure remand centre.

ORGANISATIONAL RELATIONSHIPS:
To report directly to the Team Leader (Service Support)

DESCRIPTION OF ROLE:
To provide a high quality administrative service to support teams within Aycliffe Secure Centre.

DUTIES AND RESPONSIBILITIES SPECIFIC TO THIS POST:
Listed below are the responsibilities this role will be primarily responsible for:

To play an active role as a team member and assist in providing an efficient and effective clerical/reception support service
Carry out clerical/reception duties to support the appropriate managers and staff as directed
Co-ordinate and take notes of MATAC meetings ensuring notes are distributed in a timely manner
Use and maintain IT systems and databases to a high standard as complex data entry and the extraction of data from excel and other IT packages is required
Communicate information by telephone, email and standard letter as appropriate
Maintain both manual and computerised records
Store and retrieve information from manual and computer filing systems
Assist other members of the team with typing documents for members of Aycliffe Secure Centre
Ensure that the Annex A is kept up to date ready for inspection;
Provide back up support to other members of the Performance Team to ensure that information is readily available to managers and Inspectors
To provide a note taking service to the monthly performance meeting
To work with other staff within the unit in ensuring that the Service Operational Procedures are kept up to date at all times
Answer incoming telephone calls and take accurate messages;
Reception duties including greeting and receiving visitors, room bookings;
Open and distribute incoming mail, frank outgoing mail;
Ensure documents and information are kept safe and secure in line with Data Protection and Caldicott requirements;
Carry out other duties commensurate with the grade of the post;
